β InspectionsSchedule an Inspection
Create scheduled inspections to ensure routine checks are performed consistently. Assign inspections to specific users or teams with defined start dates, due dates, and recurrence patterns. Before you begin - You need the Manager role or higher to schedule inspections - Inspection templates must exist in your organization - The users or teams you want to assign must be set up in Zeltask Steps Step 1: Access the Inspections module 1. Click Inspections in the left navigation bar 2. You will see the main view with the inspection cards 3. Click Schedule Inspections module main view with Programar button highlighted Step 2: Select a template 1. Choose the template you want to schedule 2. The template defines the questions, sections, and conditions for this type of inspection Scheduling form template selector Step 3: Set the dates 1. Start date: when the inspection will be available. It cannot be earlier than today. 2. Due date (optional): for a one-time inspection, the date by which it can be completed; for a repeating inspection, the date until which it repeats. It cannot be earlier than the start date. INS-01-03 Step 4: Set up recurrence (optional) Choose how often this inspection should repeat: | Recurrence | Description | Additional settings | |---|---|---| | None | One-time inspection | β | | Daily | Repeats every day | β | | Weekly | Repeats weekly | Select the days of the week | | Monthly | Repeats monthly | Select the day of the month, frequency | | Yearly | Repeats yearly | Select the month and day | Depending on your selection, additional configuration options appear: - How many months/years between occurrences - Which day of the month - Which days of the week INS-01-04 Step 5: Set up completion options Enable Allow late execution if you want an inspection that was not done on its date to be completable afterwards. If you leave it disabled (the default), only the current day's inspection can be performed; a date that has already passed is lost. INS-01-05 Step 6: Assign the inspection Choose who should complete this inspection: | Assignment type | When to use | |---|---| | User | A specific person is responsible | | Team | Any team member can complete it | You can assign both a user and a team if needed. Click Save The scheduled inspection is created and the assigned users or teams receive a notification. What happens after scheduling - The inspection appears in the Programmed view - The assigned users and teams are notified - On the start date, the inspection is available to be performed - For recurring inspections, new instances are generated automatically according to your recurrence settings View Scheduled Inspections To view all scheduled inspections: 1. Open the Inspections module 2. Switch to the Programmed view 3. See all upcoming inspections with: - Template name - Creation date - Description - ID - Scheduled date and time - Assigned users and teams - Questions in the inspection Programado tab with the scheduled InspecciΓ³n de Saneamiento CΓ‘mara de frΓo NΒ°2 card Tips - Set realistic due dates that give assignees enough time to complete the inspection thoroughly - Use weekly recurrence for routine checks such as pre-shift safety inspections - Use monthly recurrence for periodic audits and equipment reviews - Assign to teams when any qualified member can complete the inspection - Assign to specific users for accountability on critical inspections - Review scheduled inspections regularly to ensure coverage
π₯ Users & TeamsRoles and Permissions
Every person in the organization has a role. The role defines which modules they see and what they can do. | Role | What They Can Do | |---|---| | Super Admin | Owner of the organization. Everything an Admin can do, and is also the only one who can change the organization settings. | | Admin | Everything a Manager can do, plus inviting members, seeing the General section, and deleting other people's assets, locations, inventories, vendors and actions. | | Manager | Creates and edits templates, scheduled inspections, assets, locations, inventories and vendors. Sees all inspections, Performance, Files & Media, QR Codes and Settings. Resolves or dismisses tickets. | | Staff Member | Creates actions and tickets, runs inspections, and sees Templates, Assets, Locations, Inventories and Vendors. | | External Member | Limited access: sees Dashboard, Inspections, Tickets and Actions, and can create tickets and run inspections. | Organization Settings Personas section showing the people list with each person's role

Tickets, Actions and Inspections lists can be exported to an Excel spreadsheet. 1. In the list, click Export. 2. Select the date range. 3. Download the file. REN-02-01

From the ticket detail, you can link existing actions and unlink them. You can also see the inspections linked to the ticket. This gives you the complete trail: the finding, the actions that were taken and their outcome. β InspectionsEdit an Inspection
While an inspection is in progress, you can edit/resume it. Once it is completed, it is closed and cannot be modified, to ensure the traceability of the record. Steps to resume an inspection 1. Browse or filter the inspections to find the inspection you need 2. Make sure the inspection status is In Progress 3. Click the inspection card to see the details 4. Click Resume 5. Make the changes you want 6. Click Send INS-06-01
